1.1. All bookings are subject to availability and are confirmed only upon full payment.
1.2. Once payment is received, a confirmation email with meeting room details will be sent to the email address provided during the booking process.
2.1. All bookings are non–refundable. No refunds will be issued for cancellations, no shows, or unused bookings for any reason, including but limited to scheduling conflicts, technical issues, or user error.
2.2. Please ensure all bookings details are accurate before confirming your reservation
3.1. Bookings are non–amendable. Once a booking has been confirmed, the date, time, duration, and other details cannot be changed.
3.2. If you require a different time or date, a new booking must be made at the full applicable rate.
4.1. In the instance of a back to back booking, users will be reminded 5 minutes prior to the scheduled end time and be expected to vacate the meeting room promptly.
4.2. We understand meetings overrun and when available we will not interrupt your meeting, however additional charges will be applied for the extended period. If you prefer us to alert you to the end of the scheduled meeting, please let us know in advance.
4.3. No modifications or alterations to the room (e.g., moving furniture, decorations) are permitted.
4.4. The meeting room is for business use only and may not be used for illegal, disruptive, or unethical activities.
4.5. All users must vacate the building no later than 5:00 PM.
5.1. Complimentary hot drinks (tea & coffee) and water are provided for all meeting room users.
5.2. Users may use available presentation equipment (e.g., screens, projectors, whiteboards) as included in their booking.
5.3. High-speed Wi-Fi is included; however, we are not liable for any temporary connectivity issues.
6.1. The provider is not responsible for any lost, stolen, or damaged personal belongings.
6.2. Any fobs or keys issued must be signed in and out at reception.
6.3. Any fobs or keys that are not returned will result in a £25 + VAT charge.
7.1. Users must maintain a professional work environment and avoid excessive noise.
7.2. The meeting room is within a shared space, and users must respect other occupants.
7.3. Any disruptive behaviour may result in immediate termination of access without a refund.
8.1. Users are responsible for any damage to the meeting room, furniture, or equipment during their usage.
8.2. The provider is not liable for any personal injuries, losses, or disruptions occurring during meeting room use.
8.3. Any damages must be reported immediately, and repair costs may be charged to the user.
9.1. The provider reserves the right to refuse, cancel, or terminate a booking for any reason.
10.1. By booking and using the meeting room, the user agrees to comply with these Terms and Conditions.
